Information we collect

• Account data — name, business name, email, and phone number you provide when you sign up.
• Call data — audio recordings, transcripts, and AI-generated summaries of calls handled by your agent.
• Caller data — phone numbers and any details a caller provides during a call (e.g. name, reason for calling, appointment requests).
• Billing data — processed by our payment provider (Stripe); we do not store full card numbers.
• Usage data — log and analytics data about how the service is used.

How we use information

We use the information to operate, maintain, and improve the service — including answering and routing calls, booking appointments, generating summaries and lead scores, sending confirmations, billing, and customer support.

Call recording & consent

Calls handled by your AI agent may be recorded and transcribed. Our agents announce that calls may be recorded at the start of each call. As a customer, you are responsible for ensuring call recording complies with the laws of your and your callers’ jurisdictions (including any two-party consent requirements).

Sharing & subprocessors

We do not sell personal information. We share data with service providers who help us operate the platform, including telephony and AI voice processing (Vapi), AI model providers (OpenAI), payment processing (Stripe), and data hosting (Supabase). Each processes data only to provide their service to us.

Data retention

We retain call recordings, transcripts, and account data for as long as your account is active or as needed to provide the service. You may request deletion of your data by contacting us.

Your rights

Depending on your location, you may have the right to access, correct, or delete your personal information. To exercise these rights, contact us at sales@frontdeskai.one.
